BACKGROUND

As a company that products a diversity of home appliances, Midea has a lot of official stores or agent stores on taobao.com, at this time these stores manage their own orders respectively. To allocate products, response to customers quickly and improve the efficiency of operation. Midea started to develop a new order system to manage all the trades of its own productions on taobao.com. This system involved management of orders, management of logistics, financial settlement and so on.

What now do we focus on

The management of invoice---

Some customers needed us to offer an invoice as their payment vouchers. Usually our services got the demand and informed the financial of it, and the financials checked information provided by users, invoiced and sent to the user.

The invoice included four important items our customers offer to us: the invoice title, the invoice value, the type of invoice and the express address.

Now all the operation of services and the financial, and the flow of information would be done in the order system.

PROBLEM STATEMENT
Insights

The reason of the confusion is that the information is delivered manually!

The excel can be instituted and maintained in the database. The service and the financial staff can use the same database, they could add, edit or audit data in it. There three main benefits it will bring to them :

• The staff do not need to deliver the excel again and again, they will share the same data in one system

• Once the state or information of invoices has changed, all the related staffs will be informed by the system

• It can reduce the times that checked the invoice

This system will involve two groups of people—-two services and the financial staff. They needed to deal with hundreds of cases every week. Since the staffs are fixed, I watched them work, and then joined them to experience their work flow.

 

Then I used the affinity map to analyze their pain points, and set out the persona.

Services

Create new items: I need to create new items about the need of invoice; this information should be related to the corresponding orders.

Save: I need a state of invoice—save, this state can make me edit the items at any time, while the financial staff cannot see them in this state.

Delete and Modify: the saved items, I can manipulate the items in the saved state, if cancel the item, then it will disappear in the data;

Submit: when I confirm the information, I will submit the list of items to the system, which the financial staff will see these items later.

View: I need to know all the state of every item, as I can inform our customer timely.

 

Financial Staffs

Audit: I need to check the items from services, make sure the information is right.

Reject: during the audit, if I find the information is defected, I can reject the item and remark it, so that the services can check the information with customers again.

Print: I need to batch print the invoice in batch after audit.

Cancellation: for some reasons, the customer withdraws the appeal request of invoice, I can cancel the invoice in the system.

Express: I can deliver the list of addresses about invoices, to the post office, they can print the waybill of the express.

Verification: After I print the invoice, I will register these invoices in the National Tax Bureau.
